This policy explains what information Lumberlost Park ("we," "us," or "our") collects through this website and during the rental process, how we use and share it, and the choices you have.

Information we collect

When you visit our website. We use Google Analytics to understand how visitors use the site. It collects information such as the pages you view, how you arrived, your approximate location, and your browser and device type. See Analytics and cookies below.

When you send an inquiry. Our Contact and Apply pages ask for your first and last name, email address, phone number, current ZIP code, how you heard about us, preferred number of bedrooms, budget range, the property you're interested in, and an optional message. We receive your inquiry by email and keep a copy in our records.

When you apply to rent a home. Our rental application asks for:

  • Identity and contact details: name, email address, phone number, date of birth, Social Security number, driver's license number and issuing state, current address, and desired move-in date.
  • Income and employment: employer, position, monthly income, length of employment, a supervisor's name and phone number, and any additional income and its source.
  • Rental history and references.
  • Household details: other occupants, pets, vehicles, and an emergency contact.
  • Documents you provide, such as a photo ID and proof of income.
  • Your authorization for background screening.

If you send an inquiry or submit an application through our website, we also record your IP address to limit repeated submissions.

Screening results. With your authorization, we run the credit, criminal background, and sex offender registry checks described in our qualification criteria, and we verify your income, rental history, and references. Our staff may also search public Virginia court records by name. We keep the results with your application.

If you apply through Zillow. Some of our listings link to Zillow's rental application. Zillow's privacy policy covers what you enter on Zillow, and this policy covers the information Zillow shares with us.

If you rent from us. We keep lease and account records, such as the names, email addresses, and phone numbers of the people on the lease; the home, rent, and lease dates; renewals and notices; invoices; and maintenance and inspection records.

When you sign or respond online. Our document-signing page records your name, email address, and role (such as tenant or guarantor), your drawn or typed signature, when you agreed to sign electronically, and when you signed. A record of each signer's name, role, signature method, and signing times is added to the final document. Our lease-renewal page records whether you accepted or declined, and when.

How we use it

We use this information to:

  • respond to inquiries and arrange showings;
  • evaluate rental applications, including verifying what you tell us, running the screening checks you authorize, and searching public Virginia court records;
  • prepare leases and other documents, collect electronic signatures, and send signed copies;
  • manage tenancies, including rent and invoicing, renewals and notices, community announcements, maintenance, and recordkeeping;
  • understand how our website is used so we can improve it; and
  • meet our legal obligations and protect the safety of residents, staff, and the community.

Sharing

We do not sell your personal information. We share it only as needed to run the community:

  • Service providers that run our systems: Google (Firebase website hosting, database, and file storage, and our email accounts), Resend (email delivery), QuickBooks by Intuit (accounting and invoicing), and Google Analytics (website analytics).
  • Screening and verification: tenant-screening and consumer reporting companies, and the employers, landlords, and references you list, as needed to process your application.
  • Other signers: everyone signing the same document, such as co-tenants, guarantors, and the landlord, can see each signer's name and signing status, and each receives a copy of the signed document.
  • As required by law, such as in response to a subpoena or court order.

Analytics and cookies

Our website uses Google Analytics 4, which sets cookies in your browser to count visits and see how visitors move through the site. We don't send the information you type into our forms to Google Analytics. You can opt out of Google Analytics with Google's opt-out browser add-on, or by blocking or deleting cookies in your browser settings.

Our pages also load fonts from Google, and the Neighborhood page shows an embedded Google Map, so Google receives your IP address when these load and may set its own cookies for the map. Our document-signing and renewal pages don't use Google Analytics.

Security and retention

Our website is served over HTTPS. Signing and renewal links are unique to each document, and anyone who has the link can open it, so please don't forward them. No website or storage system is perfectly secure, so we can't guarantee the security of information you send us.

We keep information as long as needed for the application, the tenancy, and legal and recordkeeping requirements.

Your choices

You can ask to see, correct, or delete the personal information we hold about you by contacting us using the details below. We may need to confirm your identity first, and we may keep records we need for legal or recordkeeping reasons, such as signed leases. You can choose not to give us certain information, but we may not be able to consider an application without it. You can also opt out of Google Analytics as described above.

Fair housing

Lumberlost Park follows federal and Virginia fair housing laws.
